The Virginia Irvington Farmers Market uses software that facilitates the application process, approvals, and payment processing. Vendors and nonprofits can track reservations through the IFM Vendor Portal.

PLEASE READ THE NEW 2025 POLICIES & PROCEDURES LISTED BELOW:
AFTER reading Policies & Procedures, vendors/nonprofits may CREATE or LOG IN to their online accounts at the Irvington Farmers Market Vendor Portal.
If you created an account last year, you may access it through the same link. Most markets sell out quickly. We recommend you apply early to be approved and guaranteed booth space. Space is sold on a first-come-first-serve basis.

• Each vendor and nonprofit will create an account in the online system.
• After you create an account, you will have access to the IFM Vendor Portal.
• Each applicant will be asked to apply either as a Vendor or Nonprofit.
• IMPORTANT: You will need to remember your password.
• After you are approved for the market, you will log back into the IFM portal to purchase booth space.

2025 Vendor Fee Schedule - READ carefully:

• To become a participating vendor or nonprofit organization at the Irvington Farmers Market, please create an account and complete the application process. You MUST have an active email address to participate. No payment is due at the time of your application. You will be notified after your application is approved, then you may log in and purchase your space. There are discounts for signing up and paying for 6 - 7 markets before the season starts. See more information below. 
• If you sign up for 6 or 7 markets and pay in full by April 15, a 25% full-season discount is automatically applied.
• Perimeter spaces for vendors are $35 per market. Each perimeter space allows one standard-sized vehicle to remain next to the space. Due to landscape restrictions, there are limited perimeter spots and they will be assigned on a first-come-first-served basis with priority going to farms, produce, and plant vendors. You must notify us at the time of your reservation if you have a total vehicle length greater than 20 feet including any trailer. We will do our best to accommodate you, however, most perimeter spaces allow only one standard-sized vehicle.
• Infield row spaces for vendors are $25 per market.
• Infield row spaces for nonprofit organizations are $15 per market.
• Vehicles may be driven onto the field for unloading and reloading only and must be parked elsewhere during the market. There is ample parking and VIA volunteers will help you find spaces, with the North Commons being the primary area (approximately one-tenth mile away). If you need assistance getting back to your infield space after parking, email us in advance or notify a VIA volunteer. We try to have a golf cart on-site to assist with special needs.
• Refund Policy: Full-season vendors and nonprofits paid in full by April 15 receive a substantial discount equal to approximately two “free” markets. No refunds are given for full-season prepaid vendors and nonprofits unless participation is canceled by emailing farmersmarket@irvingtonvia.com by April 15. Vendors and nonprofits who have paid the regular fee for individual markets are eligible for a refund only if they cancel participation before the 15th of the month preceding the market (e.g. cancel May market participation no later than April 15, cancel June market participation no later than May 15, etc). Cancel by emailing farmersmarket@irvingtonvia.com.

Farmers Market Hours
The Irvington Farmers Market is open from 9 AM to 1 PM on the first Saturday of each month from May through November. Vendors and nonprofits check in and set up beginning at 7 AM. Vendors and nonprofits must remain set up until the Farmers Market closes at 1 PM. For safety and liability reasons NO moving vehicles are allowed on the field from 9 AM to 1 PM.

Farmers Market Location
The Irvington Commons is bordered by King Carter Drive, Chesapeake Drive, and Tavern Road. It is located between the Hope & Glory Inn (65 Tavern Road) and the Steamboat Era Museum (156 King Carter Drive). For GPS, Google Maps, or Apple Maps, use the intersection of “Chesapeake Dr. & Tavern Rd., Irvington VA 22480”.

Farmers Market Management
Market Managers and other VIA volunteers will be on-site for each market. If you have questions on market day, please see a VIA volunteer on the field or at the VIA tent near the gazebo. Otherwise, email the Market Manager at farmersmarket@irvingtonvia.com. The VIA provides a secure Wi-Fi connection plus free water and coffee for our vendors.

Market Products

• This is a producer’s market featuring products grown, raised, made, or handcrafted.
• Re-selling/retailing of purchased or vintage items is not allowed. We do not allow multi-level marketing or franchise businesses.
• Value-added products (items altered, rehabbed, or up-cycled) are permissible at the discretion of the VIA.
• We do not allow political organizations or candidates. Political or partisan goods or statements are prohibited. Promotion of political candidates or positions is not allowed.
• Service businesses that are local and unique to the area may apply and will be accepted at the discretion of the VIA.
• You must obtain approval from the VIA for ALL items you are selling or services you are promoting. Items are accepted at the discretion of the VIA. If you add or change your products, you are required to update the items listed in your online profile.
• Nonprofit organizations are welcome to apply and will be accepted at the discretion of the VIA. Nonprofit religious organizations may apply and will be considered based on their objective for participating. The promotion of religious positions, participation, or membership is not allowed.

Health & Safety Requirements
The safety of our vendors, nonprofit organizations, and customers is paramount. We require all market participants to abide by the Commonwealth of Virginia, Town of Irvington, and VIA requirements. Regardless of mandated requirements, we encourage vendors to maintain diligent cleaning and disinfecting practices for their spaces, products, and equipment. We welcome pets but we require they be on a leash and owners must clean up after them.

Weather Policy
The Irvington Farmers Market is held rain or shine. However, if dangerous weather is predicted or the Irvington Commons is saturated with rain, the market may be canceled. If dangerous weather is predicted, we will make every effort to cancel by noon on Friday the day before the market. On the rare occasion of a cancellation, it will be announced on Facebook, Instagram, and by email.

Vendor Responsibilities

• Vendors are responsible for proper labeling and licensing of their products. Your items must meet the applicable local, state, and federal health and sanitation codes. The Health Inspector has authority and may visit the market. It is the vendor’s responsibility to be compliant and cooperate with inspections at the market. Any violations can put our market and you at risk. Failure to correct a Health Inspector violation notice can result in a vendor being asked to leave the market without refunds.
• Vendors are responsible for adhering to all applicable laws regarding taxes and licensing.
• We encourage you to have Business General Liability Insurance.
• Vendors must submit a list of all products to be sold. Your products must be approved before participating in the market. If you add or change your products, you are required to update the items listed in your online profile.
• Nonprofit organizations must submit their purpose and objective for being in the market. This must be approved before participating.
• Vendors and nonprofit organizations must provide a tent (10' x 10' recommended), signage, tables, and chairs. The standard space is 12' x 12'. Your displays must fit within your assigned space. Tents must be secured with ground spikes or weights. Spaces will be assigned based on approved application and pre-payment.
• Vendors may use only the space assigned to them and may not transfer, barter, sell, or otherwise giveaway their space to another vendor. If an adjacent space is empty, a vendor may “spread out” only after receiving permission from the market manager.
• Check-in and setup begin at 7 AM at the Tavern Road and Chesapeake Drive entrances. VIA volunteers will check you in by last name or business name, confirm your payment, and direct you to your space. Please unload and clear any carts or vehicles from interior spaces by 8:45 AM. Vendors and nonprofit organizations MUST stay in their assigned space until the close of the market at 1 PM. NO VEHICLES are allowed back on the field before 1 PM.
• All materials and trash must be removed from your space following the market. Vendors leaving discarded items or trash may be eliminated from future markets without refunds.
• Parking on the Irvington Commons is not permitted without express authorization or a reservation for a perimeter space. Parking is available on designated streets and in an area reserved on the North Commons off Chesapeake Drive. If the North Commons becomes full, VIA volunteers will help you find parking. Occasionally the North Commons becomes saturated by flooding and may be inaccessible. VIA volunteers will help you find parking.
• Vendor and nonprofit organization cancellations:  If you have reserved a space for a market and won't be able to attend, notify us by email ASAP. We understand situations arise and we will work with you. No-shows who fail to notify us in advance could result in being eliminated from future markets. No-shows are detrimental to all participants and disappointing to our patrons.

Our goal is to ensure the Irvington Farmers Market offers quality products from our valued vendors and excellent community service from our nonprofits.
