All vendors and nonprofits must apply through the IFM Vendor Portal, which handles applications, approvals, and payment processing. You MUST have an active email address to participate.

IMPORTANT TIPS

  • Read the Policies & Procedures before applying.
  • Create or log in to your account via the Vendor Portal.
  • IMPORTANT: You will need to remember your password.
  • Returning vendors use the same login as last year.
  • Each applicant will be asked to apply either as a Vendor or a Nonprofit.
  • Space is sold on a first-come, first-served basis.
  • Markets fill up quickly, so APPLY EARLY.
  • After approval, log back in to reserve and pay for your booth


FEES & SPACES

  • PERIMETER: $35 per market (includes one vehicle next to booth. Priority goes to farms, produce, and plant vendors. Notify us if your vehicle exceeds 20 feet.
  • INFIELD: $25 per market for vendors, $15 for nonprofits.
  • DISCOUNT: Pay for 6 or 7 markets by April 15 - get 25% off the full season.

SETUP & PARKING

  • Vendor check-in begins at 7 AM; the market runs from 9 AM to 1 PM.
  • Vehicles may only be on the field for unloading/reloading and must be parked off-site during the market.
  • Volunteers will guide you to the parking if necessary.
  • NO moving vehicles allowed from 9 AM to 1 PM for safety.


REFUND POLICY

  • Full-season prepaid vendors and nonprofits may cancel by April 15 for a refund.
  • Individual market payments are refundable only if canceled by the 15th of the preceding month.
  • Refund requests should be emailed to farmersmarket@irvingtonvia.com.

PRODUCTS & PARTICIPATION RULES

  • Only items grown, made, raised, or handcrafted may be sold.
  • Re-selling, MLMs, and franchises are not allowed.
  • Political and religious promotion is prohibited.
  • Nonprofits are welcome and reviewed individually.
  • Service-based vendors are accepted at the VIA’s discretion.
  • All products must be pre-approved and updated in your online profile if changes occur.

HEALTH, SAFETY, & WEATHER

  • Vendors must comply with local, state, and federal health codes, including inspections.
  • General liability insurance is recommended.
  • Pets are welcome but must be leashed and cleaned up after.
  • The Market runs rain or shine, but may be canceled for dangerous weather.
  • Cancellations will be announced on Facebook, Instagram, and email.

SETUP & RESPONSIBILITIES

  • Standard booth: 12’x12’, tent, signage, tables, chairs.
  • Secure tents with stakes or weights.
  • Vendors must remain in their assigned space until the market closes.
  • Remove all materials and trash after the market.
  • Failure to comply may affect future participation.
  • Follow all parking rules.
  • Perimeter spaces require reservations.
  • Volunteers will assist with parking issues.
  • Notify the VIA in advance if you can’t attend a market to avoid being removed from future events.

HOURS & LOCATION

  • Vendor setup: Starts at 7 AM
  • Open to the public: 9 AM to 1 PM
  • Location: Irvington Commons, bordered by King Carter Drive, Chesapeake Drive, and Tavern Road (between Hope & Glory Inn and Steamboat Era Museum). For GPS on Google Maps or Apple Maps, use the intersection of Chesapeake Drive & Tavern Road, Irvington, VA 22480
